A useful residency record shows where you actually live, work and maintain your personal life over time. A visa, tenancy or certificate is one part of the evidence. Organise the record around the legal tests applying in both the UAE and the country you leave.
The purpose is to preserve genuine facts contemporaneously, not to manufacture an appearance after a tax enquiry begins. Evidence should explain the move consistently across travel records, applications, bank declarations and everyday arrangements.
Start with the questions the evidence must answer
Identify the relevant tax periods, UAE residence test and departure-country rules. If a treaty is involved, check whether you qualify under its actual definition of residence. A general UAE certificate and entitlement under a particular agreement are not interchangeable.
Our Tax Residency Certificate guide explains the UAE tests; the treaty overview explains why the second country matters.
Create five evidence folders
| Folder | Typical records |
|---|---|
| Travel | Official movement reports, journey confirmations and a reconciled day log |
| Home | Lease or title, Ejari, utilities, handover and payments |
| Work and business | Contracts, role, licence, actual work locations and management records |
| Family and ordinary life | Relevant school, insurance and household relocation evidence |
| Departure | Home disposal or tenancy changes, authority notifications and retained ties |
Keep a short index explaining document dates and the period each covers. A large unsorted folder is less useful than a smaller coherent file.
Keep a travel log that can be reconciled
Record country, arrival, departure and any relevant work activity. Retain original timestamps where possible. Different countries can apply different day-count rules, so do not overwrite the underlying journey data with a single universal count.
The FTA tax-residence guide explains the UAE treatment of part-days and consecutive twelve-month periods. Reconcile your spreadsheet with the official movement report and explain discrepancies.
Keep separate totals for countries that use different tax years. If a trip changes, update the log while the evidence is easy to retrieve.
Show the difference between a property and a home
A signed lease supports your right to occupy. Utility records and payments help show the continuing arrangement. Neither should be overstated as proof of every night spent there.
If you keep accommodation in Europe, record whether it is available to you, occupied by family or genuinely let. A tenancy agreement that says one thing while your actual use shows another creates a problem.
The Ministry of Finance residency clarification explains that a permanent place need not be owned but must be continuously available. Departure countries may use their own concepts of home and ties.
Record the substance of work and management
Keep employment or client contracts, invoices, relevant business records and a truthful account of where work is performed. For directors, retain substantive decision records rather than generic minutes claiming every decision occurred at the registered office.
A European company and its owner have separate residence questions. The corporate-tax guide explains why management location can also matter for the entity.
Preserve departure evidence and unresolved ties
Keep tax and population-register notifications, social-security decisions, property documents and changes in employment. List what remains: family, home, companies, directorships, pensions or local income.
Do not omit inconvenient facts. A clear explanation of a retained asset is more credible than a declaration that no ties remain when records show otherwise. Our departure-tax overview helps identify additional issues to review before disposals or transfers.
Apply for the certificate appropriate to the purpose
The FTA application manual shows how documentary requirements differ by applicant situation. Check the current service and the period requested rather than assuming one list fits everyone.
The certificate supports the position it certifies. It does not itself cancel the former country’s assessment or guarantee a treaty benefit.
Write a short chronology before assembling exhibits
Prepare a factual timeline: departure from the former home, arrival in the UAE, start of the new tenancy, residence processing, family arrival and the start of actual work. Record the dates separately even when they do not all match. For a move partway through a tax year, align the evidence file with a mid-year departure checklist so dates and reporting periods remain consistent.
Then connect the supporting documents to that chronology. This helps a reviewer understand the sequence instead of guessing why a lease began before the family arrived or why an application was completed after work arrangements changed.
Keep the narrative descriptive rather than argumentative. If the move was staged, say so. If an earlier plan changed, retain the original evidence and explain what actually happened. A credible account can contain complexity without pretending every event occurred on one convenient date.
Distinguish a booking from proof of presence
A flight reservation shows an intended journey; it is not necessarily evidence that the journey occurred. Keep the official movement record and other relevant evidence, and reconcile changes or cancellations with your travel diary.
The same distinction applies elsewhere. A tenancy shows contractual availability; payments and utilities add context; actual use is another fact. A licence shows authorisation for an activity, not necessarily that the activity was carried on throughout the period.
Assess each document for what it establishes and its limitations. This avoids overstating weak evidence or overlooking a useful record because it does not answer every question alone.
Resolve contradictions before submitting a claim
Compare the residence description used on tax returns, bank declarations, insurance and official applications. Different systems can ask different legal questions, so answers need not always be identical, but they should be accurate and explainable.
If a bank still records an old address, determine what needs updating rather than assuming the record is harmless. If a family member remains abroad or work continues in the former country, include that fact in the assessment.
Do not retrospectively rewrite the travel log or create documents describing events that did not occur. Correct genuine errors transparently and retain the underlying records supporting the correction.
Make adviser instructions specific
Provide the same factual pack to advisers in both jurisdictions. Ask them to identify the relevant periods, residence tests, treaty eligibility, continuing source taxation and documents supporting each conclusion.
Separate a domestic UAE residence certificate from the question of eligibility under a particular treaty. If a certificate is requested for a specific purpose, establish that purpose and the receiving authority’s requirements before choosing the application type.
Ask for a list of unresolved assumptions. A conclusion dependent on family relocation or disposal of an available home should not be treated as unconditional while those events remain only planned.
Choose a proportionate retention and sharing system
Use folders with dates, clear filenames and restricted access. Keep a master index and a secure backup, plus a record of what was supplied to each recipient. Avoid circulating the entire household file whenever one document is requested.
Retention requirements can differ for personal tax, company records, immigration and litigation. Confirm the periods applying to your situation rather than assuming one rule covers every document.
Review the file after significant changes, such as family returning abroad, a new property purchase, a different work pattern or a company restructuring. A useful residency record is maintained alongside real life. It should make a later explanation easier because the evidence was preserved when events happened, not because a convincing story was assembled afterwards.
Maintain the record without collecting excessive private data
Review the file monthly and before tax filings, major travel or a residence application. Store it securely, restrict access and share only what the recipient needs. Health and children’s records deserve particular care.

Frequently asked questions
A useful record shows where you actually live, work and maintain your personal life over time. Organise it into travel, home, work and business, family and ordinary life, and departure folders, such as a reconciled day log, lease and Ejari, utilities, contracts and authority notifications. A visa, tenancy or certificate is only one part of the evidence.
No. A flight reservation shows an intended journey, not that the journey happened. Keep the official movement report and reconcile your travel spreadsheet with it, explaining any discrepancies. Record country, arrival, departure and work activity, keep original timestamps where possible, and maintain separate totals for countries that use different day-count rules or tax years.
Not by itself. The certificate supports the position it certifies but does not cancel your former country’s assessment or guarantee a treaty benefit. Domestic UAE residence and eligibility under a particular treaty are separate questions. Check the FTA application requirements for your situation and the period requested, and keep evidence that addresses both countries’ rules.

Retention periods differ for personal tax, company records and immigration, so confirm those for your situation.
